Minutes for Special Board Meeting on October 6, 2005

 

Attendees: Walt Fedourich, Marie Martel, Jan Ehn, Michael Ricci and David Cronin

 

A special Board Meeting was called to review the bids for painting the complex.

 

Walt Fedourich presented four bids from licensed, bonded painters. Three of the bids were close in amounts, one was considerably higher.

 

The Board decided on DeHart Painting’s bid which was $22,100 to paint the front 10 units and the pool area. If the contract is awarded before November 1st, the DeHart Painting Company will grant an $1100 discount. Payment will be 40% upon award of the job and 60% upon completion.

 

Michael Ricci is drawing up a formal contract to be signed along with the painter’s proof of license and insurance.

 

Work will begin with the units on Bethany Home Road and conclude with the pool area and the adjoining four units. (5832, 5834, 5836 and 5838). If you live in this area you must immediately begin to trim large shrubs and bushes around your unit so that the painters can access all of the walls.

 

The Board also agreed to remove three large overgrown trees from the south end of the property.

 

The next scheduled Board Meeting is Wednesday, October 19th at 7:00 p.m. in the pool area.

Minutes for Board Meeting on October 19,2005

Attendees: Walt Fedourich, Marie Martel, Jan Ehn, Kari Root, Patty Banser, David Cronin, Agnes Woodworth and Paul Phillips

1. Kari Root presented the Treasurer's report. She reported that there are four owners delinquent with dues, one of which is for sale.

2. The special Board meeting held on October 6, 2005 was declared invalid because the required 3 day advance notice was not given. So the agenda of that meeting was revisited. And the results were the same as previously reported... DeHart Painting was awarded the painting contract for $22,100 for the front 10 units and the pool area, with a $1,100 discount if awarded before No­vember 1st (which it was). Payment will be 40% up front and 60% upon satisfactory completion. The new building color (Stonish Beige- eggshell finish) will be wall color and also color for around cathedral windows and any glass doors. Wood doors, garage doors and eave trim will be Crete (semi-gloss) all from Dunn Edwards. Painting begins next week at 5835 and will include 5837, 5839,747F, 5831,5833, 5832,5834,5836 and 5838 along with the pool area.

The Board also renewed unanimously to remove the three overgrown, hazardous trees at the south end of the complex.

3. Kari Root is obtaining insurance quotes for next year and will be sure that the bidders have current valuations in their contracts. Bidders will be American Family, Farmers and Allstate.

Remember, as homeowners, the entire inside of your unit and its contents is your responsibility to insure. You also should check your valuation coverage.

4. The south fence will be replaced with a block wall and the grass replaced with desert land­scaping. This will save considerable money in the long run.

5.Someone reported seeing mice around. If you notice any, go to the hardware store and get mouse trap(s) to set out.

6. Dues increases/special assessments were discussed as a possibility in the future to cover costs of painting, water line replacement and rising insurance rates. It was decided to raise these questions at the Annual Meeting in January when we will have more owners in attendance.

SAFETY ALERT: If you have a walled front patio and you lock your gate, it is suggested that you have a working doorbell on the outside so that you can quickly be alerted in case of fire or other emergency.
